Renewal for Existing Tenants Template

Hi,
I have been using an agent to look after one of our propertys but when the tenancy runs out in March 2016 I would like to run it ourselves. So is there a good template letter for asking my tenants if they are interested in renewing the contract when it runs out and if there is one when should I send the letter to them ?

Tenancies don't run out or expire, they just change.  Personally I welcome periodic tenancies as they give me more control.

The OP needs to check the terms of business they have signed with the Agent before assuming they will just let them dispense with their services. Agents aren't known for being that accommodating.

Hi,
My so called Agent just left us high and dry a few weeks ago to say that they are no longer trading, this was said through an email they sent . Since then we have been unable to get in touch with them.

I have been in touch with the Mydeposits company which is where he so called registered the tenants deposit, and after speaking to them they have also been trying to get in touch with the Agent with no luck. So I also have the problem of getting hold of my tenants deposit money when the time is due.

\could be the start of your problems.  Are you sure the deposit was protected within 30 days and the PI issued?

suggestion to the OP is to TALK to the tenant before reaching for a template letter
ask them what their intention is
then consider carefully whether it is in your best interest to offer a new contract you may well on balance find a periodic tenancy is a better option

If the agent has ceased trading please check that the deposit is still protected as I think My Deposits use an insurance backed scheme so I guess if the agents don't pay their premium then the protection afforded to the deposit may lapse? I don't use My Deposits personally but we recently had an agent cease trading recently who disappeared with rent and deposits and as if that wasn't bad enough the landlords who enquired were told they had to re-protect the deposit the agent had stolen within a set time frame or incur penalties.
